2025 has started, and we’re excited to bring you a new-year full of exciting updates to Capacities.

Offline support
With this update, we’re finally officially announcing offline support for Capacities!
Capacities is offline-first now. You can work offline and your changes will get synchronized as soon as you’re back online.
Offline & Sync State
After you login, Capacities will automatically download all your notes to your device. All changes you make to your notes are stored locally and will be synchronized with the cloud when you’re online.
You can check the offline & sync state in the app settings under “Offline & Sync”.
Media settings
Capacities can also download all media files to your device so that they load faster and you can view them offline.
In the “Offline & Sync” settings, you can select whether you want to download media files to your device. You have two options:
Everything: This will download all media files to your device. You’ll be able to access and view these files in Capacities while offline.
Required only: This will only download media files that are required to display your notes. This means that some images, files, and videos might not be available when offline. This setting saves storage space on your device but limits your offline experience.
In the settings you can see how much storage is used by Capacities for content and media. By default, Capacities will download all media files to your device if you use Capacities via the app (desktop and mobile). If you use Capacities in your browser, it will be “Required only”.
On mobile devices, Capacities only downloads media files in the background while you have a WiFi connection to save battery life and network traffic.

Unlinked mentions
Capacities Pro only
Desktop devices only at the moment, other devices will follow
Unlinked mentions show where an object is mentioned by name but not explicitly linked. It helps you find connections in your work that you might have missed or didn’t know existed.
You will find all unlinked mentions under your backlinks in each note. If you find a useful mention, you can highlight the term and create a link to your note. This promotes the mention to a backlink, which signals that it is super useful information for you.
If the unlinked mention section isn’t appearing, it is because there are no mentions of your object elsewhere in your space. Just keep working on what’s important to you, and it’ll resurface mentions for you further down the road! 🚀

Other Improvements and Fixes
Better embed views for images, PDFs, audio, files, and weblinks
The embed views of all media types in the backlink section have been improved. This is great when working a lot with media, because it makes the contextual backlinks much more helpful. The embed view for media items is now aligned with the standard embed view, but also features a media preview when you open the toggle.
Better full-text search experience
We transitioned the search engine used for the command palette, extended search, and search queries to a more powerful one. This should improve matching and ranking of your search results.
✨ Improvements
- Round adaptive app icons are now also provided on Android to provide the option of themes.
- The ordering of the ‘/’ or ‘+’ menu entries has been optimized Ticket
- Option to select all blocks on mobile (works the same as the desktop shortcut Cmd-A or Ctrl-A: all blocks on current level are select, repeated use escalates selection up one level).
- Better PDF rendering performance (especially mobile), less memory usage and smarter rendering techniques.
- Make task actions on mobile more minimal and unintrusive.
- Removed colored object type icons next to internal inline links (can be activated by the user in the editor settings)
- Calendar and tag queries are now local-only queries. They will be displayed as soon as all content is loaded to your device.
- Title search now supports better handling of diacritics.
- It is now also possible to search for object types in the ‘@’ and ‘[’ menus. Ticket
- The naming of media links has been optimized.

- It is now possible to select all objects in the object dashboards (e.g. wall, table, etc.) with the shortcut ‘CMD+A / CTRL+A’ as soon as there is an active selection.
- The option to create a date in natural language via the ‘@’ or ‘+, /’ menu is now available.
- Back navigation inside of nested menus has been improved on Android.
- We have slightly revised the design of the “Offline & Sync” settings.
- A warning is now displayed if only a limited amount of storage is available.

- The natural language input for day selections in the ‘@’, ‘/’, ‘[’ and ‘+’ menus now takes the time zone into account. Ticket

- Improved the UI of the properties overview in object studio.
- The menu for adding objects on the tags dashboard closes again as usual.
- The naming of entities when creating them via ‘@’, ‘/’, ‘[’ and ‘+’ with an active text selection works as it used to.
- The correct entities are now displayed again in the ‘+’ menu of the tag dashboard.
- The icon picker in the object studio is no longer cut off. Ticket
- When linking with an active text selection using ‘@’ or ‘[’, more precise search results are now displayed again. Ticket
- Tooltips containing titles and descriptions of icons are no longer displayed in the icon picker to improve performance. Ticket, Ticket, Ticket
- The ‘options’ button of table blocks or objects is now clickable again. Ticket
- The floating toolbox for media (which contains e.g. the zoom options) is now displayed above the actual media content again. Ticket
- It is now also possible to search for object types in the ‘@’ and ‘[’ menus. Ticket
- The search in the ‘@’ or ‘[’ menu with a text selection now works again. Ticket
- Template options are now shown again when new objects are created via ‘Cmd/Ctrl + U’ or ‘Cmd/Ctrl + N’.
- Safety triangles in nested menus work reliably again, which should make working with menus smoother.
- We have improved the automatic sync resolution so that the modal is displayed less frequently. Ticket
