How can I use Capacities similar to an Outliner?

In Capacities you can easily switch between outlining and writing in paragraphs. Go to the settings, navigate to the “Editor”, to "Toggle style" and select “Bullet” for the way toggles behave, so you can collapse child blocks under their parent blocks. Also select “Show full path above” for the "Default display of nested backlinks". You can read more about Capacities as an Outliner on our Tutorials page.

How can I change an inline link to other views?

A link within a sentence is always displayed as an inline link. If you convert it to a block, you have different view options. To do this, click on Alt + left-click on Windows or option + left click on Mac and select “convert to link block”. Then you can choose how your linked object should be displayed. If you want to generally set how links to a specific object type should be displayed, you can do this in the object settings.

What is best, one space, two or more spaces?

This question can't be answered easily as it depends on your specific needs. Some swear that one is the right way to go, while others prefer multiple spaces and are doing perfectly fine. So there is no right or wrong. But there are several points to consider for this decision.

  • A space is a container for all your notes, different spaces are completely separate from each other.
  • One space allows you to perform a powerful search across all your content, there's no need for an extra step to switch to the correct space first. Multiple spaces allow for more specific searches.
  • One space is easier to maintain, it is not necessary to think about where which content belongs, whether it fits into one space or another. Multiple spaces allow for more control in organizing your notes by domain - you might not need a 'Meetings' object type for all domains of your life.
  • In one space you are able to connect notes across different topics and domains and discover connections between them. Multiple spaces are great for more specialist use cases. A lot of note-takers recommend starting with only one space and adding more only if separation is needed. Common space setups are for example --> one for all --> private - work --> university - everything else --> writing a book - games - private etc. --> journaling - everything else etc.

Yes, there are two options:

How can I deal with tasks in Capacities?

At the moment there are two possibilities:

  1. you use tags for blocks that contain a task. Fe. #ToDo
  2. you create a tasks object type with a date property called "due date" Pro users have a third option:
  3. use the integration for task managers like Todoist, Tick Tick or others and send tasks directly to your tasks manager. There's a tutorial on YouTube you for more information.

How can I cancel my plan?

Plans can be cancelled on desktop immediately at any point and no additional charges will be applied. After you cancel, you can continue to use your plan until the end of your current billing cycle.

To cancel your plan open the app and go to Settings > Subscription & Billing.

What is the difference between Collections and Tags?

Tags vs. Collections: "Grouping content within the same object is done with collections. Grouping content from different objects is done with tags." Collections are well-suited for subcategories of an object type. For example, it makes sense to create collections for “Authors,” “Family and Friends,” or “Profession” within the object type “People.” Or for an object type “Sources,” collections for “Books,” “Papers,” “Articles.” Tags are good for topics, ratings or statuses that can be relevant to all object types. For example, status tags like #ToRead, #ToListen, #active, #inProgress or #waiting, or topic tags like #Psychology, #Sleep, #AI , #Skincare, or #MachineLearning.

What are objects?

Objects or object types correspond to items we encounter in “real life.” These can include, for example: people, books, recipes, meetings, projects, code snippets, concepts, plants, etc. Capacities supports many default object types, such as images or PDFs. For example, if you paste a picture in any page, it’ll automatically be recognized as an image object, same for if you use a tag, or if you upload a PDF. You can use templates available or create custom object types, where you define what the settings are, what properties they have and more. If you add a date property to your object type, you’d even get a handy button on your daily note for you to quickly add objects.

Which payment options are supported and how are my payments being processed?

You can pay by credit card, via PayPal, Apple Pay, or Google Pay at the moment.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

How does VAT work with the payments?

There are two options.

When creating a subscription there’s an “Add VAT” button in the checkout.

Or if you have already paid the full amount including VAT, check your email confirmation, then open the "View Receipt" link within it. In this webpage, click the "enter VAT number" link. Enter your VAT ID and your country code in the provided fields. You will then receive a refund confirmation email.

Can I change my payment method?

You can change your payment method at any point from the settings. Go to Settings > Subscription & Billing and click on "Change payment method".

What happens if I cancel a plan?

You will be downgraded to Capacities Basics. You will not lose any content that you created while you used Capacities with a different plan, you just don't have access to certain features anymore. What that means:

  • Queries will not be deleted but you will not be able to see the results until you have resubscribed to a paid plan.
  • Block-based references will not disappear so you can continue to use your existing ones, but you will not be able to create new ones.
  • Formulas in tables will not disappear, but they will not update or be editable.
  • AI chats will still exist, but you will not be able to create new ones or edit existing ones.
  • Your task action integrations will no longer work.

🍎Apps

Should I use the desktop app or web app?

Desktop will give you the best Capacities experience so we recommend that.

Right now, you can already experience better performance, better file and download integrations and better integrations (e.g Raycast, Apple Reminders, Hookmark for deeplinking)..

In the future, backups will work better from desktop and we will add more native interactions and features.

The web app has everything you need and still works very well, but if you have the option to choose one or the other, we recommend the desktop app.

There is no difference in security.
